Email activity and delivery tracking

Check whether a survey email went out and what happened to it, understand the numbers on the Email activity tab, and export the activity.

Use Email activity to check the survey emails Simplesat sends and investigate delivery problems.

Which surveys have send and open data

What Simplesat records depends on how the survey reaches your customers. Only surveys that Simplesat emails itself have an Email activity tab.

How the survey reaches customers

What Simplesat records

Simplesat sends the email: one-off, ongoing or event-based

Sends, opens, clicks, unsubscribes, spam reports and bounces

You paste the embed code into an email your own tool sends

Opens and responses. Opens show as Opened on the dashboard's Overview tab

You embed the survey on a web page

Views and responses. Views show on the dashboard's Overview tab

You share the survey link on its own, including by SMS, chat or a portal message

Responses only

When the email comes from your own tool, that tool has the count of emails sent and knows what happened to each one.

Heads up: A survey embedded in your own email records opens only when its ticket ID placeholder is filled in.

Understanding email metrics

Engagement activity shows Sent as a count and the other metrics as percentages of Sent. The date range and Email event filters apply to all of them. The change beneath each metric compares your selection with the previous period of the same length.

Number

What it counts

Sent

The survey emails Simplesat sent, including ones that bounced. Failed sends and emails Simplesat held back aren't counted

Opened

Emails whose tracking image loaded in the recipient's mail client

Clicked

Emails where any link was clicked: a rating, a link in the intro or outro text, or a link in the footer

Unsubscribed

Recipients who used the unsubscribe link. They get no more survey emails until you resubscribe them on the Customers page

Reported spam

Recipients who marked the email as spam in their mail client

Bounced

Emails the recipient's mail server rejected

Three of the numbers need reading with care:

  • Sent doesn't mean the email reached an inbox. Once the recipient's mail server accepts it, Simplesat can't see whether a spam folder, quarantine or mail rule caught it.

  • Opened misses people. Mail clients that block images, and previews that don't load them, record no open.

  • Clicked includes clicks by mail security scanners, which follow the links in incoming mail. When a person clicks a rating, the survey opens with that rating already recorded.

Soft bounces are temporary delivery failures, and Simplesat continues sending to those addresses. Hard bounces and spam reports put an address on the suppression list, which stops further survey emails.

Note: Only Simplesat support can take an address off the suppression list. Contact us with the address.

Checking whether a survey went out

Sending history lists every send of a one-off or ongoing survey. Event-based surveys don't have it. Each email a trigger sends shows up in Email activity instead.

  1. Go to Admin → Surveys and open the survey.

  2. Choose Publish, then the Delivery subtab.

Sending history is at the top.

Email sending history

Each follow-up has its own row and counts beneath the original send.

  • Scheduled: the send is waiting for its scheduled time.

  • Failed: check whether the survey was archived or closed, or the subscription was inactive, at the time.

If there's no Sending history section, the survey has never sent and has nothing scheduled.

Choose View email results to open Email activity and check individual recipients.

Reading the reply to an event-based trigger

Simplesat answers each trigger with a reply to the tool that fired it. You'll find the reply wherever that tool records its requests: a helpdesk automation's run log, a Zapier or Make task history, or your script's logs.

Read the reply's detail text, not just the status code. Survey is scheduled to be sent means Simplesat accepted the trigger, not that the email was delivered, so check Email activity for the outcome once the email is due.

Heads up: Each reply below means the trigger was refused and nothing was sent. These refusals return 200, the same as an accepted trigger, except an inactive subscription, which returns 400.

The reply says

What it means

Survey is in suppression period

This customer was already sent this survey within the survey's Suppression period

Daily email delivery amount reached limit.

Your free trial hit its daily email limit

Your survey is closed, please re-open it if you would like to send the event-based email

The survey's close date has passed

Survey is archived

Restore the survey, and triggers will go through again

Survey is deleted

The trigger points at a survey that no longer exists

Email dispatch unsuccessful. Your account is currently inactive. To send event-based emails, please reactivate your subscription.

Your subscription was inactive when the trigger fired

A trigger refused because the survey was closed, archived or deleted, or because the subscription was inactive, leaves no row in Email activity. The reply is the only record of it.

If the survey has a Delay, the reply says Survey is scheduled to be sent even if Simplesat holds the email back later. That's because the survey's Suppression period and the daily limit are checked when the email is due.

Checking what happened to one customer's email

To check one customer's emails:

  1. Go to Dashboards and choose the survey.

  2. Open the Email activity tab.

Column

What it shows

Customer

The customer's name and company, linked to their customer page

Email event

Which email in the sequence it was

Sent, Opened, Clicked, Spam, Unsubscribed

When each happened. For everything except Sent, it's the most recent time

Suppressed

Event-based surveys only. When an email Simplesat held back was due to go

Status

How the email ended up

Times are shown relative to now, and hovering one gives the full date and time.

Email activity

On a one-off or ongoing survey, a follow-up can show the yellow triangle for a customer who unsubscribed after an earlier email. That follow-up wasn't sent to them.

An event-based email that Simplesat held back or failed to send has a dash under Sent, and the tooltip on its icon gives the reason:

Reason

What it means

Survey is in suppression period

This customer was already sent this survey within the survey's Suppression period

Daily email delivery amount reached limit.

Your workspace is on a free trial and hit the trial's daily email limit

Customer unsubscribed.

You can resubscribe them on the Customers page

A previous email in this sequence has already been opened.

A follow-up was skipped. With Send follow-ups to set to Unopened customers, the customer had already opened the previous email in the sequence or answered the survey. With Unanswered customers, they had already answered

Survey is not event_based_email type or inactive

When the email was due, the survey had been archived or deleted, or moved to another delivery method

Email dispatch unsuccessful. Your account is currently inactive. To send event-based emails, please reactivate your subscription.

Your subscription was inactive when the email was due

An event-based email that's still waiting out the survey's Delay has no row yet. It shows up once it goes out or is held back, and so do its follow-ups.

Filtering email activity

Email activity has two filters: the date range and Email event. To confirm a follow-up went out, set Email event to that follow-up.

What a survey's status tells you

When you open a survey from Admin → Surveys, its status sits beside its name.

Closed

Any survey

The survey's close date has passed, and the label's tooltip shows it. The survey takes no new responses, its scheduled sends and follow-ups fail, and new triggers are refused. Event-based emails and follow-ups already waiting to go out are still sent, but the customer can't answer a closed survey

An event-based survey shows no status label until it closes. Then it shows Closed.

Exporting activity

  1. On the Email activity tab, choose Export email activities at the top of the page.

  2. Choose Export only filtered email activities for the date range and Email event on screen (the default), or Export all email activities for all of the survey's email activity.

  3. Choose Export email activities in the dialog.

The CSV download link is emailed to you. At peak times, it can take a few hours. If the export fails, you'll get an email titled Your export didn't finish.

The file has a few columns the tab doesn't:

Column

What it holds

Email

The customer's email address

Reason

Why an event-based email was held back or failed to send

Clicked rating at

When a rating was clicked. Clicked at is a click on any link

In the file, Email event is a number, with 1 for the first email and 2 to 4 for follow-ups 1 to 3. All times are in UTC.

Troubleshooting

I'm getting opens and clicks but no responses

Clicked counts a click on any link in the email, and only a click on a rating records a response. Mail security scanners also click the links in incoming mail. To see which clicks were ratings, export the activity for the same dates. A row with a time in Clicked at and nothing in Clicked rating at is a click on some other link.

I have more clicks than opens

An open only counts when the email's tracking image loads. If someone's mail client blocks images, they can still click a rating without an open being recorded. A scanner that follows links also clicks without opening.

I see -% where the percentages should be

Nothing was sent in the date range for the Email event you've chosen. Widen the date range or set Email event to All. For a one-off or ongoing survey, Sending history shows when it last sent.

My send shows as Failed

Check the survey and your subscription as they were on the date of the send. If the survey was archived or closed, or the subscription was inactive, that explains it. If none of those applies, contact us with the survey name and the date of the send.

My trigger reported success, but nothing arrived

Read the reply's detail text, not its status code, because most refusals return 200 too. If the reply says Survey is scheduled to be sent and the survey has a Delay, the email is waiting and won't show anywhere until it goes. Once it has gone, find the customer's row in Email activity and check its status. If neither explains it, send us the survey name, the customer's email address and roughly when the trigger fired.

A customer told me they never got the survey

Find their row in Email activity, or export the activity and search the Email column for their address. Then:

  • Green check: their mail server accepted the email. Ask them to check their spam folder, quarantine and mail rules.

  • Red cross: hover it to see why. A hard bounce or a spam report puts the address on the suppression list, and we can remove it for you.

  • Yellow triangle: they're unsubscribed. You can resubscribe them on the Customers page.

  • No row: check the date range and Email event filter first, then work through the checks below.

If a one-off or ongoing survey has no row for them, check whether:

  • they match the survey's audience on the Publish → Delivery subtab (Direct email surveys explains the audience rules)

  • the survey is ongoing and already sent to them within its Frequency period

  • you're on a free trial and the send hit the day's email limit before it reached them

  • they were already unsubscribed when the send ran (the Customers page shows it)

If an event-based survey has no row for them, check the trigger's reply and the survey's Delay.

I can't find Email activity for my survey

Only surveys that Simplesat emails itself have it: one-off, ongoing and event-based. A survey embedded in your own email or on a web page, or shared as a link, doesn't.

If the survey is archived, you can't open its dashboard until you restore it. Restoring needs the Manage surveys permission, which Owners and Admins have.

  1. Go to Admin → Surveys.

  2. Choose the Archived filter.

  3. Choose Restore in the survey's menu.

I never got my export

The link goes to the email address of whoever asked for the export, from [email protected]. Check your spam folder, and allow a few hours at peak times. If the export hit an error, you'll have an email titled Your export didn't finish instead. If an email from Simplesat to your address has hard-bounced before, Simplesat stops sending to that address, exports included, and we can clear that for you. Otherwise, contact us with the survey name and roughly when you asked for the export.

FAQ

Can I see exactly what my customer received?

No. Email activity doesn't store the subject line or the body of the email. Ask the customer to forward it to you.

How do I see whether a specific person was sent a survey, and how many times?

In Email activity, every email to them is its own row, marked Initial or with its follow-up number. On an event-based survey, each trigger's email is a separate row. You can't filter the tab by customer, so export it and filter the Email column.

How many surveys have we sent?

It depends on what you're counting:

  • One survey over a date range: Sent in Email activity, which covers one survey at a time. For a single day, use Today, Yesterday or a one-day custom range.

  • Each send of a one-off or ongoing survey: Sending history.

  • All your surveys together: Monthly email sends on Admin → Usage, for the current usage period. It isn't shown during a free trial.

  • A survey embedded in your own email: the system that sends the email has the count.

Can I break the numbers down by channel, like email, SMS or phone?

No. Email activity covers the emails Simplesat sends for one survey, and a survey has one delivery method. A survey link shared by SMS, chat or phone isn't tracked as a send.

Is there a report of who didn't respond?

No. But you can send follow-ups only to the customers who haven't answered. On the survey's Emails subtab, set Send follow-ups to to Unanswered customers.

Can the export be emailed to me on a schedule?

No. An export runs only when you ask for one, and scheduled reports carry feedback, not email activity.

How far back does email activity go?

All the way back to the survey's first send. Nothing is removed over time. The date picker has no All time preset, so set a custom range that starts before the first send.

Can I see emails that are waiting to go out?

A one-off send scheduled for later shows as Scheduled in Sending history. An event-based email waiting out its Delay isn't shown anywhere. If you have questions about a particular email or need more information, contact us with the survey name and the customer's email address.
