Calendly integrations

Add a Simplesat survey to the emails Calendly sends invitees, like the follow-up after a meeting.

You can put a Simplesat survey in the emails Calendly sends your invitees, such as the follow-up after an onboarding call or a demo. There's nothing to connect. You generate the code in Simplesat and paste it into a Calendly email.

Before you start

  • The Calendly survey is available on every Simplesat plan.

  • Calendly automations come with Calendly's paid plans.

  • Editing a notification's body needs Calendly's Standard plan or higher.

  • Managed events need Calendly's Professional, Teams, Teams Plus or Enterprise plan.

  • A Calendly owner or admin adds the survey to managed events, because managed events are event types an admin sets up and assigns to users.

Send surveys from Calendly

Simplesat has two Calendly options. Choose the one that matches the email your survey goes in:

  • Calendly Workflow, for an email that a Calendly automation sends. Calendly used to call automations "workflows."

  • Calendly Managed Events, for a managed event's follow-up email.

The two options use different Calendly variables, because Calendly's automation emails and managed event emails offer different ones. A survey has one destination, so if you need both, use a separate survey for each. Placeholders and merge fields explains how placeholders work in every tool.

Calendly automations

In Simplesat:

  1. Create or open the survey and choose External email embed.

  2. Under Choose where to add your survey, choose Calendly Workflow.

  3. For a CSAT or 5-Star survey, set Rating icon type to Emojis. Image icons don't display well in Calendly's emails.

  4. Click Generate embed code.

  5. Choose Visual and click Copy survey.

In Calendly:

  1. Open the automation that should send the survey, or create one. For example, you could create one that sends an email when an event ends.

  2. Under Do this, select Edit on the email action.

  3. Paste the survey where you want it to appear in the email.

  4. Select Done, then Save.

  5. To test it, book an event with yourself as the invitee so Calendly sends the email with your details. Then click a rating.

Calendly fills in these variables in every rating link:

What the link carries

Calendly variable

Customer email

{{invitee_email}}

Customer first name

{{invitee_first_name}}

Company

{{invitee_last_name}}

Team member

{{event_organizer_name}}

Ticket subject

{{event_name}}

The Company row means each response sets the customer's company in Simplesat to the invitee's last name.

Calendly managed events

In Simplesat, follow the same steps as for automations, but under Choose where to add your survey, choose Calendly Managed Events.

In Calendly, as an owner or admin:

  1. Go to Settings → Managed events and open the managed event.

  2. Under More options, open Notifications and automations.

  3. Next to the follow-up email, select the three dots, then Edit.

  4. Paste the survey into the email and select Save and close.

Calendly fills in these variables in every rating link:

What the link carries

Calendly variable

Customer email

{{invitee_email}}

Customer name

{{invitee_full_name}}

Team member

{{my_name}}

Ticket subject

{{event_name}}

With either option, each response comes in with:

  • The invitee's email and name, so the response is linked to them as a customer.

  • The organizer as the team member. Calendly sends the organizer's name, so the team member shows in Simplesat under that name, without an email address.

  • The event's name as the ticket subject.

The links carry no ticket ID, so each click is a new response.

Heads up: The code in your Calendly email doesn't change when the survey does. After you change the survey's metric question, its rating choices, icons or labels, generate the code again and replace it in Calendly. For the full list of changes that need new code, see External email embed.

Troubleshooting

My Calendly emails show no rating icons

Image icons don't display well in Calendly's emails. For a CSAT or 5-Star survey, set Rating icon type to Emojis on the survey's Publish tab. Then generate the code again and replace it in Calendly. NPS and CES surveys show numbers, so they're not affected.

My Calendly responses come in without the invitee's details

Calendly fills in the variables only when it sends the email for a real booking. Check these:

  • The survey's destination matches the email: Calendly Workflow for an automation's email, or Calendly Managed Events for a managed event's follow-up email. Each one uses its own Calendly variables.

  • The rating links in the pasted code still contain the Calendly variables, such as {{invitee_email}}.

  • You're testing with an email from a booked event, not a preview.

FAQ

Do I need to connect Calendly to Simplesat?

No. There's no Calendly integration to connect. The survey works from the code you paste into the email.

Which Calendly option do I choose?

Choose Calendly Workflow if a Calendly automation sends the email. Choose Calendly Managed Events if the survey goes in a managed event's follow-up email.

Who is the team member on a Calendly response?

The event's organizer. Calendly sends the organizer's name, so the team member shows under that name, without an email address.
