Managing team members

How to add, edit, delete, group, merge, and map team members in your account.

Team members are the agents whose performance is tracked through Simplesat feedback. You can manage your team member roster, organize agents into groups, clean up duplicates, and map them to Simplesat users.

Add a team member

  1. Go to Team members in the sidebar

  2. Click New team member

  3. Enter the team member email, name, and external ID (either email or external ID is required as a unique identifier).

  4. Optionally, assign them to one or more groups

  5. Click Create team member

The new team member appears in the directory immediately.

Only users with the appropriate permissions can add, edit, delete, merge, or map team members. Managers can view and filter the directory but can't make changes.

Edit a team member

  1. Find the team member in the directory and click their row to open the detail modal

  2. Open the actions menu and select Edit

  3. Update the information

  4. Save your changes

If the team member was created by an integration, fields managed by that integration are read-only. To change those fields, edit them in the source system.

Delete a team member

  1. Find the team member in the directory and click their row

  2. Open the actions menu and select Delete

  3. Confirm in the dialog

Deleting a team member doesn't delete their feedback. Their responses stay in your account but are no longer attributed to any team member. If you want to keep the feedback attributed to someone else, use Merge instead.

Merge duplicate team members

Duplicates happen when the same person ends up with multiple records, usually from using different email addresses across systems. Merging combines two records into one and reassigns all feedback to the surviving record.

Before you merge:

  • Merge is permanent. There is no undo

  • Only manually-created records can be merged. Records synced from an integration can't be merged

  • Group memberships from the deleted record are not carried over to the surviving record

Merge two records

  1. Open the team member you want to keep (the surviving record)

  2. Open the actions menu and select Merge

  3. Search for and select the duplicate record to merge into this one

  4. Review the merge preview to confirm which record will be kept, which will be deleted, and how many responses will be reassigned

  5. Click Merge team members

The duplicate is removed and all of its feedback is reassigned to the surviving record.

Create and manage groups

Groups let you organize team members so you can filter dashboards and feedback by team, region, or any other grouping.

Create a group

  1. In the Team members section, click New group in the sidebar

  2. Enter a name and select the members to include

  3. Click Create group

Groups are immediately available as a filter option in your dashboards and feedback views.

Edit a group

  1. Open the group from the Groups list

  2. Click Edit group

  3. Save your changes

Delete a group

  1. Open the group from the Groups list

  2. Open the actions menu and select Delete

  3. Confirm in the dialog

Deleting a group doesn't delete the team members in it. Only the group itself is removed.

Map a user to a team member

User-to-team-member mapping links a Simplesat user (someone who logs into the app) to the team member record their performance is tracked against. Simplesat tries to map users automatically by matching email addresses. You can also set the mapping manually.

Only Admins and Owners can add or remove team member mappings. Mapping is mainly used for Collaborators to only see their own feedback.

Map a user

  1. Go to Settings > Users

  2. Find the user you want to map and open the actions menu and select Team member mapping

  3. Click Add team member mapping and search for the correct team member

  4. Save your changes

Remove a manual mapping

  1. Go to Settings > Users

  2. Find the user you want to remove the mapping and open the actions menu and select Team member mapping

  3. Click the unlink option next to the mapped team member

  4. Save your changes

When a manual mapping is removed, Simplesat falls back to automatic email-based matching.
