Feedback

Find, filter and read survey responses on the Feedback page, set up shared views, and export or schedule a CSV of your feedback.

The Feedback page shows the responses to your surveys, including their ratings, comments and answers to follow-up questions.

View your feedback

All feedback is the default view. It lists every response from every survey in your workspace.

Note: The page shows the last 90 days. To see older responses, open the date range picker next to the filters and choose All time or your own dates.

All feedback

Click a response to open its full details.

Each view uses one of two layouts:

  • List shows each response as a card with its rating and comment.

  • Table shows responses as rows, with a column for each field you choose.

List works like a feed and is the friendlier way to read feedback as it comes in. Table is for sifting through more data at once and for preparing a CSV export.

Feedback views

A view saves filters, a date range, a layout and columns under a name in the sidebar.

Heads up: Views are shared. An edit to a view changes it for everyone in your workspace.

Star a view to add it to Favorites at the top of your own sidebar.

Create a view

  1. Select New feedback view at the bottom of the sidebar.

  2. Give it a Name your team will recognize.

  3. Choose List or Table as the Layout.

  4. For a Table view, choose Rows or Columns under Display answers as.

Rows puts each answer on its own row, across all your surveys. Columns puts each response on one row and gives each question its own column. It covers one survey, which you pick at the top of the view.

Edit a view

  1. Open the view's menu at the top right.

  2. Select Edit view, then rename the view or change its layout.

To change a view's filters, see Save your filters as a view.

Choose and order columns

  1. On a Table view, open the view's menu and select Edit columns.

  2. Use the eye toggle to show or hide a column.

  3. Drag columns into the order you want.

Changes save automatically.

Delete a view

  1. Open the view's menu at the top right.

  2. Select Delete feedback view.

Heads up: Deleting a view deletes it for everyone in your workspace. Any scheduled reports on the view are deleted with it.

Filter your feedback

To narrow the page to the responses you need:

  1. Select Add filter.

  2. Choose a field, such as Sentiment.

  3. Choose the values, such as Negative.

The page shows the responses that match both your filters and the date range.

What you can filter by

  • The survey, the rating, sentiment, topics and the comment.

  • The ticket and the team member.

  • The customer and their company.

  • Tags, source and language.

  • Whether a comment is published as a testimonial.

  • Any custom ticket or customer field your workspace collects.

How a condition matches

Each condition matches in one of these ways:

  • is or is not

  • contains or does not contain, which match part of a text value. For example, Comment contains refund finds every comment that mentions a refund.

  • is unknown, which matches an empty field

  • has any value, which matches a field that isn't empty

Choose several values in one condition and it matches any of them. One Survey condition with three surveys returns responses from all three.

Combine conditions into groups

Every condition belongs to a group. Add filter starts a new group, and the plus on a group adds a condition to it.

Within a group, the same and or or joins every condition. Click the word to switch it. Groups are joined to each other the same way.

To mix and with or, use more than one group. For example, to see one company's responses that are negative or carry a particular tag:

  1. Select Add filter and add a condition for the company.

  2. Select Add filter again and set Sentiment to Negative. This starts a second group.

  3. Select the plus on the second group and add a condition for the tag.

  4. Click the word between the sentiment and tag conditions to make it or.

  5. Check that the word between the two groups is and.

Save your filters as a view

Select Save filters. On All feedback, the only option is Create new view. On a saved view, you can also choose Save changes to the existing view.

Tip: To try a variation on a view other people use, choose Create new view. The original stays as it is.

A view also keeps its date range. A preset like Last 30 days rolls forward and always shows the latest 30 days. Dates you pick by hand stay fixed.

Response details

Feedback modal

If you have permission, you can change the rating in the Response section. For the steps, see Correcting and removing feedback. It also covers changing the team member and deleting or restoring a response.

Simplesat detects themes in what the customer wrote and lists them under Topics. You can add one yourself. See Topics to learn more.

Tags are covered in Response tags below.

If your survey's rating links carry the ticket's URL, the ticket ID in the Ticket section opens the ticket in your helpdesk. Team member is the only field in this section you can change. Not every response has a Ticket section.

The ticket's custom fields come from an integration sync or from custom ticket placeholders in the survey URL. You can filter on them, and they're in the export. To set up placeholders, see Including custom ticket and team member placeholder fields in a survey.

To see who left the response, check the Customer section. Anonymous responses don't have one.

No rating in the answers means the customer skipped the metric question. Follow-up answers appear in the order the survey asks them.

Notes and events

The timeline records each answer as it arrived, each tag and topic added or removed, and your team's notes. To add a note, type it in the box under the timeline and select Add note. Notes are only visible to your team. They support Markdown.

Share a response

To share a response with another user, copy its URL from your browser's address bar. They need to be signed in to Simplesat to open it.

Response tags

Tags are labels your team adds to responses. You can filter by them, show them as a column in a Table view, and export them.

  1. Open the response and select Add tag.

  2. Pick a tag, or select New tag and give it a name and color.

Remove a tag from the response's Tags section. Anyone with tag permissions can add and remove tags.

Export feedback

To export your feedback as a CSV:

  1. Set the date range and filters, or open a saved view.

  2. Select Export feedback at the top right.

  3. Choose Export only filtered feedback or Export all feedback.

  4. Select Export feedback.

Export only filtered feedback exports exactly what the page shows. Export all feedback ignores the filters and date range and exports every response in your workspace.

Export feedback

Simplesat emails you a download link, usually within a minute or two. The email comes from [email protected] with the subject Your feedback export is ready. The link only goes to you. Colleagues who need the file can run their own export.

What's in the file depends on the view. A List view exports a fixed set of columns, one row per answer. A Table view's file is laid out like the table, with the same columns in the same order. On a Rows table, show the Response ID column to tie each response's rows together.

Schedule report

A saved view can email a CSV of its responses to a list of people on a schedule.

  1. Open the view and select Schedule report.

  2. Add the recipients. They can be users in your workspace or any email address.

  3. Write a Subject and Message. Both accept {{ date }}, which is replaced with the date the report is sent.

  4. Set the Frequency to daily, weekly or monthly, and pick an interval. Weekly with an interval of 2 sends every two weeks.

  5. Set the Time. It's in your workspace's time zone.

Each time a report goes out, it's a fresh export of the view. If nothing matches, no email is sent. The download link in each email expires after seven days.

A view can have several schedules. On a view that already has one, Schedule report lists its schedules. You can edit or delete them there, and Create schedule adds another. Send now sends a report immediately. Use it to replace a link that has expired.

Troubleshooting

Synced fields stopped appearing on responses

If ticket or customer fields are missing from every response after a certain date, the integration's authentication has usually expired. Re-authenticate it under Integrations. Then contact us, and we'll re-run the affected responses.

Heads up: Revoking an integration's access deactivates every integration on that connector. Note which ones are active before you revoke access, and switch them back on afterward.

A saved view shows the wrong results

Reload the page, sign out and back in, or try an incognito window. If the results are still wrong, check the view's filters and the and/or words between them. A teammate may also have edited the view. Edit it back, or save your version as a new view with a different name.

I can't find the response for a ticket

Add a Ticket ID filter and set the date range to All time. If the response still doesn't appear, compare your ID with the ticket ID on a recent response. A ticket ID can be a helpdesk ticket number, a chat conversation ID, a Shopify order number, or a reference from the system that sent the survey.

Deleted and spam responses aren't listed. See Anonymous, spam and duplicate feedback.

A banner says new feedback was withheld

Responses over your plan's monthly allowance are held back, and the banner shows how many. You can release them from the Billing page.

The export never arrived

Check your spam folder and search for [email protected]. The export goes to the email address you use for Simplesat.

If an export fails, Simplesat sends an email with the subject Your export didn't finish. If nothing arrived at all, your address may be on the bounce list. After a hard bounce, Simplesat stops sending anything to that address, and only we can clear it. Contact us. In the meantime, a colleague can run the export.

Follow-up answers are missing from the file

Exports from the Feedback page include every follow-up answer. Downloads from a dashboard don't. On a Table view with Columns, each follow-up question has its own column. It's empty when the customer didn't answer.

The export is too large to run

An export can include up to 600,000 responses. Narrow the dates, add a filter, or export each survey or year separately and combine the files. For one very large file, contact us.

Excel shows the whole file in one column

The export is a plain CSV. If you double-click it, Excel guesses the delimiter and encoding. Instead, open Excel and import the file from the Data tab. Choose comma as the delimiter and UTF-8 as the encoding.

The dates in the file are off by a day

Timestamps in the CSV are in UTC. The page shows dates in your time zone. A range can start or end with a row dated the day before or after.

A response is in Simplesat but not in the export

The file only includes responses that match the page's date range and filters. Spam, hidden and withheld responses are never exported. If you need your spam responses, we can send them as a separate file.

The Export feedback button can't be clicked

It's disabled when your filters match nothing. Widen the date range or clear a filter.

FAQ

Does the customer have to submit their response?

No. Each answer saves as soon as it's given, even if the customer never finishes the survey.

Can I see only the responses where every question was answered?

There's no filter for that. A Table view with Columns shows the gaps. You can also tag the complete responses and filter on the tag.

Can a tag be applied automatically based on the score?

Not in Simplesat. Integrations can write the rating or sentiment as a tag in the tool they connect to.

Can I tag many responses at once?

Not in the app. Contact us and tell us how to identify them.

Can I filter on the answer to a follow-up question?

No. The Comment filter only covers the comment left with the rating. To see every answer by question, use a Table view with Columns.

Can I filter on more than one survey at once?

Yes. Select several surveys in one Survey condition.

Can a Columns table show more than one survey?

No. A Columns table covers one survey. To see all your surveys in one table, use Rows.

Who else can see my feedback views?

Everyone in your workspace with feedback access. Starring a view only changes your own sidebar.

Can I use formatting in a note?

Yes. Notes support Markdown, including links, lists, bold and code blocks.

How do I download a report of my ratings and comments?

Filter the Feedback page to the responses you want, then use Export feedback. The CSV includes ratings, comments and follow-up answers.

Can I get the export as an Excel file?

The export is a CSV. Import it into Excel from the Data tab, then save it as a workbook.

How far back can I export?

You can export everything. Set the date range to All time, or choose Export all feedback.

Can I pull my feedback automatically instead of exporting it?

Yes. The Simplesat API serves responses, answers, customers and team members. For BI tools, the Dropbox integration keeps a CSV of the last 12 months in a folder. See Export CSV feedback to Dropbox. To email a view's responses on a schedule, see Schedule report.

What should I send support about a specific response?

Its URL. If you can't open the response, send the ticket ID and survey name, or the customer's email address.
