Cancellations and downgrades

How to cancel a subscription, move to a smaller plan, or delete a workspace and its data, and what changes in each case.

You can cancel your Simplesat subscription at any time. There's no notice period and no cancellation fee, and canceling doesn't erase anything: your workspace, your team, and all the feedback you've collected stay right where they are. You'll keep full access until the end of the period you've already paid for.

If you're canceling because your plan no longer fits, you might not need to cancel at all: you can downgrade to a smaller plan and keep everything running. And if you want your data permanently removed too, ask us about deletion, which is a separate request.

Cancel your subscription

Anyone who can see the Billing page can cancel: the workspace Owner, users with the Billing role, and anyone whose custom role includes managing billing.

To cancel your subscription:

  1. Go to Admin → Billing.

  2. Select Cancel subscription. A short form will open in a new tab.

  3. Fill out and submit the form.

That's all you need to do. We'll reply with the exact date your subscription ends. Your subscription stays fully active until then, and once that date passes, you won't be charged again.

Note: submitting the form won't change anything you can see in the app. The Billing page will keep showing your plan as active, with a next invoice amount, until the renewal date passes. This is expected, and one submission is enough.

When your cancellation takes effect

Cancellation takes effect at the end of your current billing period. If you're on a monthly plan that renews on the 11th and you cancel on the 3rd, you'll keep full access until the 11th, and no further charges will follow. We don't refund unused time you've already paid for, and this applies to monthly, annual, and Enterprise plans.

Because every paid subscription renews automatically and there's no separate auto-renewal switch, canceling is how you stop the next charge. You can find your renewal date on the Billing page beside the next invoice amount. Once a subscription renews into a new period, contact us and we'll sort it out, and if a renewal goes through after you submitted your cancellation, that's our mistake: send us the date of the charge and we'll make it right.

Refunds and proration

Canceling doesn't trigger a refund. Instead, the time you've already paid for stays yours to use until the period ends, and nothing more is charged after that. Changing plans is more flexible, and here's how the money works in each direction:

  • Upgrading mid-period is prorated automatically. You'll be charged the difference between the two plans for the rest of the period, and the workspace Owner will receive that invoice.

  • Downgrading mid-period creates a credit for the unused part of the higher plan, which will be applied to your future invoices.

If you picked the wrong billing frequency, like annual when you meant monthly, contact us. We'll refund the original payment in full, then charge the right amount on the same subscription.

Refunds take 5 to 10 business days to reach your statement, depending on your bank. If a refund goes out soon after the original charge, your bank may show it as a reversal instead: the original charge disappears from your statement, and no separate credit appears.

Note: a credit only offsets future invoices, so canceling right after a downgrade can leave it unused. Talk to us before doing both in the same billing period.

Downgrade instead of canceling

If Simplesat is working for you but the plan is more than you need, downgrading keeps everything running at a lower price.

  1. Go to Admin → Billing.

  2. Select Change plan and pick the plan you're moving to.

If your usage is above the new plan's limits, the screen will block the change and show you exactly what's in the way: each blocker, your current usage, and the limit you need to get under. It checks brands, custom dashboards, account users, and feedback widgets.

To clear a blocker, reduce what it names:

  • Delete or archive custom dashboards until you're within the limit. Renaming them won't clear the check.

  • Remove extra brands.

  • Remove account users to fit the new allowance.

Downgrading from the Billing page takes effect immediately, and the difference is prorated automatically. On a prepaid annual plan, the unused months come back as a credit on your next invoice.

Delete a workspace and its data

Deleting a workspace permanently erases it and all of its data. It's separate from canceling: a canceled workspace keeps its users and its feedback, while deletion removes everything for good.

Currently, deletion isn't self-serve. To request one, contact us and include:

  • The workspace URL and your account email.

  • Whether it's one workspace or all of them.

  • A target date, if you have one.

  • Whether you'd like a data export first.

Once you've requested it, deletion completes within 72 hours, and we'll confirm when it's done. We take deletion requests from the workspace Owner, or from an active admin with the Owner's explicit approval.

If you want the data gone before your paid period would have ended, say so in the request and we'll end the subscription early too. And if you need written confirmation of the deletion, let us know what you need and we're happy to provide it.

Warning: deleting a workspace can't be undone, and the data can't be recovered afterward. Export anything you need first.

What happens after a subscription ends

More stays than you might expect. You can still sign in, everyone keeps their roles, and all the feedback you've collected stays visible. The app will show the subscription as expired, and Owners will see a prompt to choose a plan.

Web and link surveys keep collecting. New feedback that arrives after the end is withheld: we keep it safe, you'll see a count of it, and none of it triggers your integrations while it's held. Subscribe again and the whole backlog is released.

Heads up: subscribing again doesn't switch these back on. Set your email surveys live again, and restore the dashboards you need from the archive.

Troubleshooting

I submitted a cancellation and nothing has changed

That's expected: the form doesn't change the Billing page, and no email goes out. We'll reply with your end date. If a working day passes without a reply, nudge us on the thread or start a chat and we'll confirm it.

The Billing page still shows my subscription as active

This is expected. The plan keeps its Active label until the renewal date passes, and the page keeps showing a next invoice amount for that date. That's the plan's regular price on display, not a bill on its way: no invoice goes out once your cancellation is in.

There's no Cancel subscription option

Change plan and Cancel subscription appear together on the Billing page when there's a paid subscription and you're allowed to manage billing.

On a free trial you'll see Choose a plan instead, and there's nothing to cancel: trials end on their own date without charging you.

Seeing the Billing page and managing billing are separate permissions, which is why it's possible to see the Billing page but not the button. The page itself is visible to the Owner and the Billing role, and a workspace can grant billing access to other roles through custom roles.

If you have a paid subscription and can see the page but the button isn't there, contact us and we'll cancel it for you.

My subscription renewed after I submitted a cancellation

Contact us with the date of the charge and we'll make it right. A renewal that slips through after you've asked to cancel is our mistake, not yours.

The downgrade is still blocked after I removed the feature

Make sure the item was actually deleted or archived, not renamed. If it still won't clear, contact us with the blocker's name from the screen.

I canceled by mistake

Contact us before the end of the current period and we'll reverse it. Your subscription carries on like nothing happened.

My surveys aren't sending after I subscribed again

Email surveys are set to not live when a subscription ends, and subscribing again doesn't set them back. Open each one and set it live again. Same for custom dashboards: they were archived, so restore the ones you need.

FAQ

Is there a notice period or a cancellation fee?

No. Cancel whenever you like, and your subscription runs to the end of what you've paid for.

Do I keep access until the end of the period I paid for?

Yes, fully. Nothing changes until the renewal date.

Do I have to be the account owner to cancel?

No. The Owner can cancel, and so can anyone with the Billing role. Workspaces can grant that permission to other roles too.

Will I get a confirmation email?

Not automatically. We'll confirm once the request is processed, and you can ask for written confirmation for your records.

Can you handle a downgrade for me?

Yes. We can clear the blockers and schedule the change to take effect at the end of your current period, so you pay the current rate until then, or apply it right away. Tell us which you'd like.

Can I remove just my own user from a workspace?

Yes. Removing your user takes away your own access and leaves the workspace running for everyone else. If a colleague can't invite your email because it's attached to an old workspace, removing your user from that workspace is all it takes.

What happens to my feedback after I cancel?

It stays in your workspace, visible as always. Web and link surveys keep collecting, and anything that arrives after the end is held for you until you subscribe again. Deleting feedback is a separate request.
