Custom roles provide granular control over workspace permissions in Simplesat.

Custom roles provide granular control over workspace settings access. They allow you to grant specific administrative permissions to workspace members beyond what's possible with default roles.


How to create and edit custom roles

  • Head over to Settings > Roles in your Simplesat workspace.

  • Click the New role button in the top right corner of the page.

  • Provide a name and description for the role.

  • Set visibility and action settings for each permission, grouped by different sections in the Simplesat app.

  • Click Create role when you're done.

To modify an existing role, select Edit from the roles table, make your changes, and save.


Detailed permission breakdown

The permission settings for surveys, feedback, and customers are interconnected, with visibility cascading from surveys to feedback to customers. This structure provides a comprehensive and logical approach to managing access across different areas of the application.

Surveys

Survey visibility controls not just which surveys users can view, but also the corresponding feedback and dashboards that come from those surveys.

Visibility

  • All surveys - Users will have access to all current and future surveys created in your workspace.

  • Assign surveys individually to users - Users belonging to this role have their own individual survey access. Admins must grant survey access either by editing the user, or when choosing user access while editing a survey.

  • Assign survey access for all users in this role - Choose the surveys that all users in this role will be able to access. This option is convenient because you only need to set survey access in one place.

Actions

  • Manage surveys - Add, edit, and delete surveys.

Feedback

Feedback pertains to responses and answers.

Visibility

  • Only feedback from surveys the user can access - Users can access feedback from surveys set in the survey visibility settings. If All surveys is set, then the users will be able to view all feedback in the workspace.

  • Only feedback associated with the user - This option is the same as above, with the additional restriction that users can only see the feedback they are associated with. See more about restricting feedback based on team member mapping.

Customers

Regardless of which visibility option you choose, users won’t be able to view hidden feedback while viewing customer information. For example: if a user has access to CSAT Survey but not NPS Survey, when viewing a customer, they would only be able to see feedback from CSAT survey, even if the customer has left responses for the NPS Survey.

  • Only customers with responses the user can access - Customers must have left at least one response that the user is able to access, either controlled by Survey or Feedback visibility settings.

  • Manage customers - Add, edit, delete customers.

  • Export customers

Reports

Permissions related to the Reports section in Simplesat.

Visibility

  • Only reports containing data the user can access - This means any data from surveys, feedback, or customers can only be viewed in reports if the user has access.

  • No access - Users will not be able to view any reports.

Survey dashboards

Survey dashboards are automatically created for each survey.

Visibility

  • Only dashboards from surveys the user can access

  • None

Custom dashboards

Custom dashboard visibility options behave similar to surveys.

Visibility

  • All custom dashboards - Users will have access to all current and future custom dashboards created in your workspace.

Pertains to all integrations accessible within the Simplesat dashboard.

  • Manage integrations - Authenticate, revoke access, and manage all settings for any integration.

When visibility settings are not specified, users without management permissions can view the page content but cannot make any changes.

  • All billing information - View current plan, active credit card (last 4 digits of card), and invoices.
